Customer Service Coordinator

 

Scope:

The Customer Service Coordinator is responsible for delivering finished goods to Customers by coordinating between Factories and Markets, in close collaboration with Finance, R&D, Logistics. This position is a pivotal one including a variety of activities such as order processing, shipping, billing, preparation of documents, reporting and data maintenance. The Coordinator is responsible for accurate processing and transmission of production/shipping requests to manufacturing and warehouse facilities and following up to ensure timely delivery to the market place.

The mission:

 

  • Process orders – from receipt and entry through to the actual delivery of the shipment.
  • Regularly communicate with customers as to the status of their orders.
  • Regularly review and follow up on the backlog of orders for assigned territory.
  • Pursue tasks as described in SOP’s / routine (trained by Manager).
  • Prepare all of the necessary export documents and submit them to the relevant parties.
  • Arrange with transportation companies for the timely shipment and delivery of product.
  • Invoice the M&S companies and third party customers.
  • Track shipments of Finished Goods to ensure they reach Customer-defined destination on time with no errors in the accompanying documents.
  • Preparing reports as required by Management and / or Market.
  • Make sure that the transporters have all the required information to perform according to GDP.
  • Letter of Credit, CAD collection, Legalisation.

 Your profile:

 

  • High School Diploma or equivalent.
  • Experience of Export, Distribution and Order management in an international company, preferably in the Pharmaceutical branch.
  • Excellent understanding for service and timing.
  • Good verbal and written communication skills.
  • Very well structured and customer service trained.
  • Very good team player.
  • Good understanding of supply flow and distribution.
  • Well experienced in computer based work, preferably Oracle.
  • Fluent in English and in French, some knowledge of German.
